Work orders
Every request a tenant makes, including the ones the lease says are theirs. Tenant items go straight to a vendor and show here for the record. Landlord items wait for you.

Tenants
Read-only view of what each tenant's app says, plus anything they've flagged. You can confirm or correct what the AI read, but you can't change the lease itself.
Suite 140 · what the app read

Tenant correction
Waiting on youMaria Delgado flagged square footage during setup: "Our architect's certificate from 2022 says 1,852 square feet, not 1,800."
If the certificate governs, rent and the pro-rata share both change. That's a lease question for the owner, so the app only records what the documents say.

Statements and notices
Upload once here instead of emailing each tenant. The app explains each tenant's share to them.
Review queue
Everything the AI produced that a person should look at before tenants rely on it. Early on, the HCT team checks everything. Later, managers handle their own properties and this queue keeps only tenants without a manager on the app.
AI read 180 days at 62% confidence. The scan is smudged, and the amendment on p.3 may change it.
Tenant says: "We pay $24.50, not $22.00. There's a second amendment we forgot to upload." The app now shows the original lease text instead of a summary for this field.
The answer quoted the facade sign rules but missed Exhibit D-2 for the monument panel, which wasn't in the scan. Tenant's note: "That's the wrong sign."
"Kitchen breaker panel is in the back office, not the riser room." Low risk, no safety claim.
What the AI always checks
The list of clauses and traps every lease is read for, whether or not the tenant asks. This is where Luke's list of what tenants usually miss will live. It becomes part of the AI's instructions and can be edited without a code change.
| Always look for | Why a tenant cares | Surfaces as |
|---|---|---|
| Cap on operating expenses | No cap means unlimited annual increases. A cap may apply to only one pool. | Setup summary |
| Billing dispute deadline | Bills can become final if not disputed in time, e.g. 90 days. | Countdown |
| Admin or management fee on CAM | A 10% markup on top of costs is common and invisible on most statements. | Statement line |
| Renewal notice window | Miss it and options are void. Often no reminder obligation. | Countdown |
| Early termination right | Usually a one-time window with a fee. | Nudge |
| HVAC repair vs. replacement | Replacement can be the tenant's with no amortization. | Who handles what |
| Required maintenance frequency | Skipped service shifts failures onto the tenant. | Recurring reminder |
| Relocation clause | Landlord can move the tenant with capped reimbursement. | Setup summary |
| Late fees and grace period | No grace period plus repeat-lateness penalties. | Rent card |
| Waiting on Luke: his list of the clauses tenants most often miss and the ones that matter in negotiations, plus leases from other states. Each item becomes a row here. | ||

Tenant documents never go to AI services that train on inputs. Every view of a lease by a manager or admin is logged.
